Use this workflow when a new form entry in clinic intray already belongs to a patient who already exists in BnTRx, so staff can keep one active record and avoid duplicate patient files.

When to use Match Existing Record

Use this when the patient is in intray and you suspect they already have an active BnTRx record from an earlier visit or from shared data that came in from BnTx. If the intray panel shows a highlighted Match Existing Record indicator with a duplicate count, treat that as a prompt to review before confirming the new form patient.

How duplicate prompts are shown

After you open the intray patient, BnTRx checks active patients with the same first name, last name, and date of birth. If matches are found, the Match Existing Record button is highlighted and shows the number of possible duplicates.

Step by step from clinic intray

    Open the patient in clinic intray and review the left form details.

    Select Match Existing Record.

  3. 3

    Choose the existing active patient on the right side.

  4. 4

    Review the matched patient's details and update fields as needed.

  5. 5

    Use the copy toggles if you need to copy details from the form record to the matched record.

    Save Changes, or use Save and Create Order if you are also creating today's order.

What happens after save

The existing active patient record is updated with your final values. Contact details, consent, and payer tier updates are saved to the matched patient. If Co-Payment Details copy is enabled, Stripe payment details are transferred from the form patient to the matched active patient. The original intray form patient is archived as Archived Form so the clinic is not left with two active records for the same person.

Intray matching scope

In clinic intray, staff resolve a form entry into an existing active patient record as part of day-to-day processing. After review and save, the chosen active patient record is updated and the form entry is archived to avoid duplicate active records.
